AFS BCM workspace is now secure for crisis management and operations.

Overview

Ajackus partnered with AFS, a prominent player in the financial services industry, to enhance their Business Continuity Management (BCM) workspace, refine user interface (UI) functionalities, and streamline document generation processes. The collaboration aimed to improve crisis management capabilities, operational efficiency, and user experience through targeted updates and innovative solutions.

Problem

  • BCM Workspace Enhancements

AFS faced challenges with their BCM workspace, particularly in managing views and workflow permissions for Business Impact Analysis (BIA), Business Continuity Planning (BCP), Crisis Events, and Exercises. The need was to enhance report visibility and improve notification systems to ensure better management of business continuity processes.

  • Script & UI Development

The organization required new scripts and enhancements to UI functionalities to address various use cases and improve overall user experience. This included developing UXF Client Actions and UI Macros to make the interface more intuitive and effective.

  • Access Control (ACLs)

Proper access control was crucial for AFS to regulate functionalities based on user roles. The goal was to establish Access Control Lists (ACLs) to ensure secure and role-based access to different components of the BCM system.

  • PDF Generation

AFS needed automated solutions for PDF generation, specifically for Crisis Map and BCP documents. The existing process required improvement to facilitate efficient document management and reporting.

  • Documentation

Comprehensive documentation was essential to support the newly implemented features and processes. This included creating detailed guides for the Crisis Map, BCP PDFs, and other relevant tasks to ensure clarity and ease of maintenance.

Solution

  • BCM Workspace Enhancements

Ajackus updated the BCM workspace view and workflow permissions for BIA, BCP, Crisis Events, and Exercises. These updates led to improved report visibility and more effective notification systems, enhancing the overall management of business continuity processes.

  • Script & UI Development

We developed and implemented scripts for a range of use cases, enhancing various UI functionalities, such as UXF Client Actions and UI Macros. These improvements provided a more intuitive and streamlined user experience, facilitating better interaction with the BCM system.

  • Access Control (ACLs)

We established and configured ACLs to manage functionalities based on user roles, ensuring secure and controlled access across the BCM workspace. This implementation helped maintain the integrity and confidentiality of sensitive information.

  • PDF Generation

We designed and developed new templates and scripts to automate PDF generation for Crisis Map and BCP documents. This automation simplified the creation and management of critical documentation, ensuring timely and accurate reporting.

  • Documentation

We reviewed existing documentation and created new guides for critical components, including the Crisis Map and BCP PDFs. This comprehensive documentation supported ongoing system maintenance and user training.

Results

Enhancements to the BCM workspace improved workflow efficiency and system visibility. Custom UI features made it easier for users to navigate, while role-based ACLs boosted security by controlling access. Automated PDF generation simplified document management and made reporting more accurate. We optimized AFS’s BCM workspace, creating a more secure, efficient, and user-friendly environment that strengthened their crisis management and operations.
